Finance and Administration assistant at NAD Zambia office

The Norwegian Association of Disabled (NAD), founded in 1931, is an Organisation of Persons with Disabilities (OPDs) that has been operating in development work since 1981. NAD’s principal task is to fight all types of barriers that prevent women, men, girls, and boys with disabilities from being active participants as well as contributors in their communities. NAD is currently working in Uganda, Tanzania and Zambia.

NAD has been working in Zambia since 2009 and focuses on both specific engagement with Organisations of Persons with Disabilities (OPDs), disability inclusion in mainstream organisations and close collaboration with the Zambian Government.

To support our office in Lusaka, NAD is hiring a Finance and Administration assistant. The Finance and Administration Assistant will play a critical role within the team, managing day-to-day financial operations in line with NAD policies and processes, ensuring the effective running of the office, and supporting colleagues to ensure projects are delivered efficiently. He/she will report to the Country Director and will collaborate with the finance officer and program staff.

Responsibilities Include;

1. Ensuring the complete and accurate bookkeeping of all NAD Zambia’s transactions and reporting these in a timely manner..

Participate in budgeting preparations Maintain the NAD Asset Register and ensure that it is updated as and when new assets are procured.

2. Assisting with cash management processes, including setting up payments for approval on the banking portal, having responsibility for the office cash float, and reconciling staff advances for project expenditure.

3. Ensuring that NAD Zambia complies with all relevant financial legislation, including ZRA, NHIMA, NAPSA, Workers Compensation, filing financial statements and annual returns. You will also ensure NAD Zambia operates in line with NAD’s policies and processes, particularly those related to financial management and procurement.

4. Undertaking administrative and logistics tasks to ensure the effective running of the NAD Zambia office, including sourcing suppliers, procurement, contract drafting, preparation of travel forms,arranging workshops and meetings, maintaining office supplies and services.

5. Filling of documentation both hard copies and soft copies

6. Carry out other financial assignments as requested.

Qualifications needed:

  • Higher education in economics or accounting. Minimum of a Diploma in Accounting or Business Administration
  • A fully paid-up registered member of ZICA.
  • At least 3 years’ experience in Administration and Finance in a non-governmental organization.
  • Experience in a digital accounting environment and good knowledge of Excel and the use of QuickBooks or similar cloud-based accounting packages.

Other competencies required:

  • The ability to analyze financial data and design and produce effective management information.
  • Ability to prioritize and meet agreed deadlines.
  • Strong communication skills, ability to closely cooperate with others and build partnerships.
  • Willingness to travel as needed in project sites.
  • Persons with lived experience of disability are especially encouraged to apply.
